As part of its ongoing growth, the company is expanding its team by adding an offshore Operations Assistant, who will play a key role in ensuring the smooth day-to-day operations of the business.
Role Overview: We are seeking a highly motivated and adaptable Generalist Operational & IT Assistant. The successful candidate will have a strong appetite for learning and a positive attitude, showing initiative and problem solving skills. This role requires an individual who can confidently navigate operational tasks, IT support. You will play a crucial role in enhancing our operational efficiency, managing review requests, and supporting both internal and client-facing projects. This position will report directly to the Operations Director in the areas of business operations and IT support and provision.
Key Responsibilities:

Operations & Administration:
- Process and monitor client invoices, billing, and other financial records.
- Utilize & administer Asana for project and task tracking, documentation, and collaboration on operational tasks.
- Collaborating in Notion for documentation of SOPs, Workflows and Knowledge base content.
- Assist with review requests and survey systems, using platforms like Reviews.io to gather client feedback.
- Provide support for ticketing systems to resolve operational issues.
- Weekly invoice reconciliation between Warehouse Management system and Australia Post
- Managing Reviews.IO and Google Review requests
- Administration of Net Promoter Score (NPS)
- Collaborate with the sales team to identify opportunities from historical quotes and other sources as directed
IT & Systems Management:
- Manage Shopify integrations and troubleshoot as needed.
- Proofreading A.I. generated documents from Gamma and Scribe uploading into Notion
- Proficiency with Microsoft and Google suite of products
- Dashboard system administration for sales, financial, operations (Warehouse systems) and marketing
- Experience in an operations or IT assistant role.
- Familiarity with Shopify, Notion, and Zapier.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
- Familiarity with ticketing systems and customer survey platforms (such as Reviews.io).
- Basic understanding of financial processes, including billing and invoice reconciliation.
- Excellent communication skills and a proactive, team-oriented attitude.
